Prepare, Pack & Post We know that the thought of sending such sentimental items in the post may be daunting, but we can reassure you that by using the methods described below you can minimize any anxiety you may have. A reassuring fact is that 90% of all orders received by us are delivered via the UK Postal service and the other 10% via Courier or personal delivery to our door. To date only one package out of the thousands we receive has arrived broken, and that was a record that had been sent in a normal envelope - hardly surprising really!! Packing Apart from Records & Photographic materials, most of the items you are likely to send us are very robust and require far less protection than such things as glass negatives or delicate shellac recordings. For that reason, padded envelopes, bubble wrap and good packaging tape are all that is normally required to adequately protect your items in transit. Heavier items such as large 16mm film canisters may require the addition of cardboard boxes for additional support/protection. As postal costs are directly related to size and weight, it will help to keep the costs down if you can safely reduce both size & weight without compromising the safety of the contents. Custom LP & Record Packaging Contrary to the above advice, the golden rule here is do not skimp on packaging just to save postage costs. These items do need to be well protected and supported. If they are properly packaged they will be perfectly safe. We supply customised packaging materials made specifically for transporting records all around the world. Just contact us to order your packaging. Inserts, stiffeners, outer packaging and instructions for all Record sizes - £10 Posting If your package is under 2kg it may be more economical for you to send it via the Post Office rather than a Courier service. We highly recommend that you do not just use normal post for these items.We recommend their Special Delivery service. For heavier items (over 2kg) such as large reels of 16mm Cine film, it may be more cost effective to use a courier service. We use Parcel2go.co.uk who will pick-up and deliver your parcel door-to-door! Return postage is charged at current Post Office or Courier rates + £2.50 for packaging.   We cannot accept any responsibility for items we receive damaged or lost through inadequate packaging or labeling.		The Check List Make sure you have fully completed the order form and enclosed it with your items If your items need to be transferred in a specific order, make sure they are clearly numbered or labeled For those services that require PRE-PAYMENT (Review Service), please include a cheque or postal order made out to 'Video Impact UK' If you require our Fast-Track Service please make sure you have contacted us for your Fast-track number & clearly write 'FAST-TRACK' along with the number on the outside of your package, otherwise it will not be prioritised and will be processed alongside our normal queue of work. Print out Mailing Label - 'LABEL' Our 'Fast-Track' service option guarantees processing and despatch within 3 to 5 working days (depending on the size of the order). This service is subject to an additional 20% surcharge on processing fees and is only available if current work loads and staffing permit. This service must be requested and confirmed by phone or email prior to sending your order. If this service is available you will be allocated a 'Fast-Track' number which should be clearly written on the outside of your package. Keeping You Informed Once your items have been received at our Studio you will receive a confirmation email along with an estimated time for completion. On completion of the work we will contact you again via email with an Invoice stating payment & postal options. Once payment has been completed, you will receive details of posting along with tracking details and also have the option to evaluate our performance via email. Safe 'n' Sound With this service we send your order to you in two separate packages. Firs we return the transfers that we make for you via Special delivery. Then, only after you have confirmed delivery of those items do we send back your original items. This method ensures that at all times one form of your item is 'Safe n Sound' at all times. For most orders you will not require this service as we store back-ups of your order on our servers for 30 days. However, for some direct transfers methods we do not keep a copy therefore this service is a fail-safe against loss or damage in the post. If you request this service on the order form we will determine if it is necessary prior to invoicing. If we have a copy of your order on our servers we will not use or charge you for this service thus saving you postage. If you do not wish to avail yourself of this option in any case, just state NO on the order form. Insurance Both of the postal methods we use & recommend include tracking and limited insurance as standard. However, if you require additional insurance or other delivery options please let us know prior to despatch as we cannot accept any claims for lost or damaged goods in transit.
